Is your phone system holding you back?

Posted on

Phone systems have been installed in offices of all different sizes for more than 40 years, providing a vital service to the business. Since then, telephone call handling has matured to become intertwined with the day-to-day process of running the business.

The average business phone system lasts anywhere between six and eight years, after which the system is either out of maintenance or is lagging in features, often to the extent that it is hurting the performance of the business. Businesses that need to upgrade their existing phone system will find a huge array of new solutions available compared to seven or eight years ago.

For starters, new software-based communications solutions don’t need dedicated hardware in the server room or IT office anymore, because the entire system runs in the cloud. In many instances, “hard phones” such as your desk phone are not even required. New phone solutions often include a “soft phone” or “client” that runs on many different devices, such as your PC, tablet or smartphone.

And modern phone solutions no longer offer just “voice”. They have transformed to offer a range of Unified Communications (UC) capabilities such as instant messaging, presence, video calling, collaboration tools and mobility solutions, all designed to keep your business at maximum productivity.

Let’s look at some of the impacts an outdated phone system can have on your business -

Poor service = lost customers

Many customers still prefer having a phone call when dealing with service issues, so if your phone system doesn’t deliver the experience they want, your customers could soon be someone else’s

Inflexible working = loss of talent

Every business is only as good as its workforce – and attracting then holding onto your best people are now partly determined by how supportive, flexible, agile and efficient your communications and IT systems are.

Poorly equipped employees = lost productivity

Today’s workforces are increasingly dispersed, but they still need to communicate and collaborate effectively – wherever and whenever. If employees don’t have access to the communication and collaboration tools they need, their productivity is adversely impacted.

Missed opportunities = missed revenue

Physical presence is no longer needed for selling into a new location or launching a new service – but if you’re hamstrung by out of date communications, you’ll struggle to access new opportunities.

Outdated systems = increased downtime

Unlike Cloud Communications platforms – which feature built-in redundancy and support seamless working from any location – an on-premise phone system significantly increases your risk of a costly outage.

Routine administration = wasted IT expertise

The IT resources of many non-enterprise businesses are both stretched and costly – focusing them on managing an ageing phone system is particularly wasteful.

Traditional on-premise phone systems no longer match the needs of today’s modern businesses. We are now living in the age of Cloud Communications. Switching to Cloud Communications maximises your profitability and unleashes the true potential of your business. The longer you shackle your Business with an outdated phone system, the more growth opportunities you’re missing out on.

Monday 23rd March 2020 and the PM announces UK lockdown … did your business invoke its business continuity plan? Does it have one?

But what about your personal continuity plan … even Google does not give us anything concrete when we search on this topic.

We would never need something like that, would we?

I am sure we all know what we’d do in the event of ‘disaster’ with particular regard to familyworkfinances, our home, …?

I am not convinced we would, and I will be the first to admit I’ve had a number of sleepless nights running through ‘what-if’ scenarios to all four of the above.

The events over the last couple of months has made us all think about our Plan BC & D!

Here are some useful pointers to help you to start preparing your personal continuity plan:

  • Create a document somewhere safe (e.g. iCloud, OneDrive, Google Docs) and let your nearest and dearest know where and what it is.
  • Start with the important four as headers  familyworkfinancehome. Add others that are relevant to you.
  • Add useful contacts for each.
  • Detail locations of important documents.
  • Remember if something happens to youthis could be invaluable to your family at a very stressful time.
  • Review and update your plan frequently.

Unless you are on the front line or a key worker, it is quite likely you have a little bit more time on your hands just now

Why not start to prepare for the unexpected now?
